At a Glance
A two-person team was handling 20–30 deals every month while manually coordinating leads, proposals, agreements and client onboarding. A recurring daily process that took 20–30 minutes now takes about two minutes. The connected system removes more than 10 hours of manual work each week, alerts sales immediately when a lead arrives and eliminates the handoff delay when a deal becomes a delivery project.
Executive Summary
Client: Dare Network
Industry: Performance Marketing & SEO Agency
Team: Two people handling 20–30 deals per month
Dare Network's sales and delivery process spanned scheduling, customer records, proposals, service agreements, project management and internal communication. Manual updates between these tools slowed first contact, document preparation and the transition from a signed deal to delivery.
The new sales and operations infrastructure connects the full lifecycle. Each deal-stage change launches the correct next action—from qualification and document generation to onboarding and recurring project delivery—without employees copying information between systems.
The Challenge
A two-person team was managing 20–30 deals each month while also transferring lead details, checking qualification, preparing proposals and agreements, chasing signatures and updating records. A recurring daily process alone consumed 20–30 minutes. After a sale, operations still had to create the client project, prepare Slack access and schedule recurring work manually.
This created three direct business risks:
- New opportunities could wait too long for first contact.
- Proposal and onboarding progress depended on manual handoffs.
- Delivery setup relied on team members remembering every recurring task.
The Solution
TEKMO AI built one connected, event-driven sales and operations system across DaySchedule, Zoho CRM, Zoho Projects, Zoho Bigin, PandaDoc, Google Drive, Slack, Gmail, Make.com and n8n. Deal-stage changes became the trigger for the next required action, reducing administration while keeping salespeople and team leads informed.
How It Works
Immediate Lead Response
New DaySchedule bookings are synchronized with the customer record system, and the assigned salesperson receives an immediate Slack alert when a lead is created. This removes the notification gap that could delay first contact. If a lead is marked unqualified, the system cancels the meeting and sends the appropriate message automatically.
Proposal and Agreement Automation
When a deal reaches the audit stage, the system identifies the service and requests the correct access from the prospect. Once the audit is approved, PandaDoc generates the tailored proposal and service-level agreement. Review links are saved to Google Drive and returned to the salesperson for approval.
Persistent Follow-Up
The follow-up engine monitors each deal and sends the correct sequence after proposals and agreements are issued. It stops automatically when a document is signed or the deal changes stage, keeping follow-up consistent without sending irrelevant messages.
Zero-Delay Client Handoff
When a deal is won, the system creates the delivery project from the correct service template, opens the client Slack channel and invites the assigned account and technical team members. Team leads are alerted immediately, removing the sales-to-delivery handoff delay.
Recurring Delivery Control
On the first day of each month, the required recurring deliverables are created automatically for active projects. This keeps delivery consistent without manual reminders or repeated setup.
Business Results
- Over 90% faster daily processing: a recurring 20–30 minute process now takes about two minutes.
- 10+ hours of manual work eliminated every week across sales and operations.
- 20–30 deals handled monthly by a two-person team with a consistent operating process.
- Immediate first-contact visibility: salespeople receive a Slack alert as soon as each new lead is created.
- Sales-to-delivery handoff delay removed: team leads are notified as soon as a won deal becomes an active project.
- Consistent follow-up and delivery: deal sequences stop at the correct stage, while monthly client tasks are created automatically.
The business outcome is a leaner revenue operation: two people can manage meaningful deal volume without administrative work consuming selling time or creating gaps between sales and delivery.
